Billing and Payments
Monthly Retainer Engagements
Invoices for monthly retainer services are due on the first day of each billing cycle. Late payments may result in paused services at our discretion.
Project-Based Work
Payment for individual projects is due upon receipt of invoice unless otherwise specified in a signed agreement.
Ad Spend
Client advertising budgets (Google Ads, Meta, etc.) are separate from our management fees and are billed directly through the respective advertising platforms or passed through per your service agreement. We are not responsible for platform-level billing errors, refunds, or account credits.
Disputed Charges
If you dispute a charge, please contact us within 14 days of the invoice date. We will work with you in good faith to resolve billing questions before initiating any formal collection process.
Service Delivery
We work on client deliverables according to the scope and timelines established in each service agreement. Where applicable:
- Website edits and content updates carry an average 48-hour turnaround for standard requests.
- Urgent or emergency requests are handled as quickly as possible and may incur priority fees.
- Advertising campaigns require lead time for creative development, platform review, and LegitScript approval where applicable.
- Large-scale SEO or website projects may be phased across multiple billing periods.
Due to the HIPAA-sensitive nature of addiction treatment marketing, all client deliverables, login credentials, and sensitive data are handled exclusively by our USA-based team.
Imagery, Ads, and Intellectual Property
Ownership
Treatment Center Agency retains intellectual property rights to all ad creative, copy, graphics, templates, and strategic frameworks we develop unless a separate written agreement explicitly transfers ownership.
Usage License
In most engagements, clients receive a license to use imagery and ad creative during the active engagement. This license is non-exclusive and non-transferable.
Revocation
In rare circumstances — such as licensing changes from third-party image suppliers — we may need to revoke the right to use specific imagery. If this occurs, we will replace the imagery or provide resources for suitable alternatives.
Client-Provided Assets
If you provide us with imagery, copy, logos, or other materials to use in your marketing, you represent that you have the rights to use those materials and authorize us to use them on your behalf.
Termination of Services
Client-Initiated Cancellation
Monthly retainer clients must provide 30 days’ written notice to cancel. Early cancellation fees apply as follows:
- Cancellation within the first 7 days of a billing cycle: Current month’s fee, plus 15.5 days.
- Cancellation after the first 7 days of a billing cycle: Current month’s fee, plus one additional full month.
This policy reflects that significant work is staged in advance and continues to benefit clients for weeks after delivery.
Company-Initiated Termination
We reserve the right to terminate a client engagement immediately if:
- Payment is not received after reasonable notice
- The client engages in conduct we determine to be unethical, illegal, or harmful to our team
- The client misrepresents their facility’s credentials, licensing, or compliance status
- Continued engagement would require us to violate applicable law or platform policies
Asset Transfer
Upon termination, we will work with you to transfer any accounts, assets, or access credentials we control on your behalf. Transfer will occur after all outstanding balances are settled.
USA-Based Team and Data Handling
Our entire team is based in the United States. We do not outsource your site code, patient-adjacent data, or marketing account access to offshore subcontractors.
We may use:
- Licensed imagery, video, or audio resources from international vendors
- Third-party platforms (Google, Meta, HubSpot, etc.) that operate globally
Hosting: HIPAA-compliant and high-sensitivity client websites are hosted in the US or Canada. Backups stored off-site are encrypted and inaccessible without our credentials.
